Guidelines for drawing up a budget proposal for a SEPHIS lecture tour


The following categories of expenses can be covered by the lecture tour budget of Sephis:

1. Travel expenses
2. Accommodation
3. Postal and telephone expenses
4. Hiring an interpreter

1. Travel expenses 

Costs which can be covered by Sephis are:

Airfare (return from country of the visitor to host country and flight(s) between one venue to the other during the lecture tour, if other reasonable travel alternatives are not available). Airport taxes can be reimbursed after submitting the receipts.
Train. (A description of the route to be taken by train and an estimate of the costs of the train tickets to be bought.)
Taxi. (Reimbursement on the basis of original invoices).
Travel insurance (if travel insurance cannot be obtained in the visitor's or host country, the Sephis secretariat can be asked to arrange it)
Vaccination costs (reimbursed after submitting an invoice of the vaccination clinic)
 

2. Accommodation

In principle Sephis covers the expenses for accommodation in University guest houses (or - if not available - in a middle-class hotel) if the host institute and other receiving institutes are unable to take care of (part of) the accommodation. If possible, the host institute is asked to make visible its contribution to the accommodation arrangements for the visitor in the budget. Sephis will cover living expenses in accordance with UN DSA standards

3. Postal and telephone expenses

The host institute can apply for reimbursement of postal and telephone expenses up to a maximum of USD 200. Normally, the visitor will be in regular employment, and receive a salary. Since both the host institute and the visitor's institute benefit from the exchange, Sephis expects the employer of the visitor to continue salary payments during the lecture tour.

4. Hiring an interpreter

The language of communication is English. Sephis expects the visitor and the local coordinator at the host institute to be able to communicate with each other in English. However, it may happen that the audiences in the host countries are not in command of English. In that case a budget for hiring a (professional) interpreter may be included, on the basis of local fees for professional interpreters.

Payment of instalments

On the basis of a budget approved by the co-ordinator of Sephis the first instalment will be made to the host institute enabling it to cover the travel costs. The second instalment will be paid after the host institute has submitted a statement of expenses (together with the original invoices viz.: flight and traintickets, hotel bills, clinic invoices for vaccination) which has to be approved by the Sephis co-ordinator. The coordinator must receive the text of the lecture, which can be published by Sephis. It should be submitted in the form of an article, ultimately six weeks before the lecture tour begins
